Privacy policy
Last updated 6 November 2026
Panel Pick helps hiring teams record structured interview scorecards. This policy explains what we collect, why, and the choices you have. Questions: privacy@panelpick.com.
Who is responsible for what
For your account (name, email, sign-in), we are the controller. For the candidates and interviews your organisation records, your organisation is the controller and we process that data on its behalf, only to provide the service.
What we collect
- Account details: name, email address, and your Google profile picture if you sign in with Google.
- Organisation content: candidates, scorecards, notes, schedules, uploaded files (such as CVs) and templates.
- Billing details: handled by Stripe; we store only the customer and subscription identifiers and status.
- Security records: an activity log of changes, and failed sign-in attempts to prevent abuse.
We don't sell personal data, and we don't use it for advertising.
Personal details about candidates
Organisations decide who can see sections marked as personal, and can set a retention period after which those answers are erased automatically. Admins can also erase a candidate's personal data on request.
Service providers we use
- Vercel: hosting the application.
- Neon: the database.
- Cloudflare R2: storing uploaded files, privately.
- Resend: sending sign-in links, invites and interview emails.
- Stripe: payments, for organisations on a paid plan.
- Google: sign-in, if you choose it.
- Vercel Web Analytics: anonymous, cookieless page-view statistics for our website and app.
How long we keep data
We keep organisation content while the organisation uses Panel Pick, subject to its own retention settings. When an organisation asks us to delete its account, we delete its content within 30 days, apart from what we must keep by law.
Your rights
You can ask to access, correct, export or delete your personal data, or object to how it's used. If you are a candidate, please contact the organisation that interviewed you first; we'll help them respond. You can also complain to your data protection authority.
Cookies
We use only the cookies needed to keep you signed in and protect forms. There are no tracking or advertising cookies; our page-view statistics are collected without cookies and don't identify you.
Changes
If we change this policy in a way that matters, we'll tell account admins by email before it takes effect.
